Memphis Art Salon Event Space & Rental Terms Policy
1. Reservation and Booking Policies
Reservations: All reservations require a signed rental agreement and a non-refundable deposit of 50% of the total rental fee to confirm the booking. The remaining balance is due 14 days before the event date.
Hold Policy: We can hold dates for up to 7 days without a deposit. After this period, a deposit is required to secure the date.
Cancellation Policy: If a cancellation is made more than 30 days before the event, 50% of the deposit may be credited toward a future event. Cancellations within 30 days of the event date forfeit the entire deposit.
2. Rental Hours and Overtime
Rental Hours: Standard rental hours are between 8:00 AM and 11:00 PM. Extended hours are available upon request but may incur additional charges.
Setup and Teardown: Clients are responsible for setup and teardown within their rental period unless prior arrangements have been made.
Overtime Fees: Any time beyond the agreed rental hours will incur an overtime charge of $150 per hour.
3. Capacity Limits
Guest Limit: The maximum capacity for the Memphis Art Salon is 150 guests. Exceeding this limit may result in additional charges or termination of the event.
4. Food, Beverages, and Alcohol
Catering: Outside catering is permitted; however, caterers must provide a certificate of insurance prior to the event.
Alcohol Service: Alcohol is allowed with prior approval. A licensed bartender must serve alcohol if there is to be a bar, and proper permits must be obtained.
Food and Beverage Restrictions: No red wine, heavily dyed beverages, or any other staining foods/beverages are allowed in the exhibit areas.
5. Décor and Setup Guidelines
Decorations: All decorations must be non-permanent and pre-approved by Memphis Art Salon. Use of adhesives, nails, or any material that could damage walls or fixtures is prohibited.
Art Handling: Art installations or exhibits on display cannot be moved or altered in any way. Any requests regarding the space's art should be made at least two weeks in advance.
Flame and Smoke Prohibitions: Open flames, candles, and smoke machines are strictly prohibited.
6. Music and Noise Policy
Noise Levels: Amplified music must be kept at a reasonable volume, especially after 9:00 PM, to comply with city noise ordinances.
Live Entertainment: Bands or DJs are permitted with prior approval.
7. Clean-Up and Damage
Guest Responsibility: Guests are responsible for returning the space to its original condition. All trash, decorations, and personal belongings must be removed before the end of the rental period.
Waste Disposal: Trash and recycling should be placed in designated bins provided by Memphis Art Salon.
Damage Policy: The client assumes full responsibility for any damage to the space, art, or equipment. Any repair or replacement costs due to damages will be billed to the client.
8. Liability and Insurance
Event Liability Insurance: Event insurance is required for all commercial event rentals. Proof of insurance must be provided at least 7 days before the event.
Security Deposit: A refundable security deposit of $300 is required for all events. The deposit will be returned within 10 business days after the event if no damages or policy violations occur.
Liability Waiver: Memphis Art Salon is not liable for any accidents, injuries, or losses that may occur before, during, or after the event including during set-up and clean-up.
9. Compliance with Regulations
Permits and Licenses: The client is responsible for obtaining any necessary permits, including those required for alcohol service, food service, or street parking.
City Ordinances: All events must comply with Memphis city ordinances, including parking, noise, and fire codes.
10. Security and Safety
Security Staffing: For events with over 75 guests or those serving alcohol, additional security may be required at the client’s expense.
Emergency Exits: Fire and emergency exits must remain clear at all times.
11. Photography and Media
Photo Permissions: Photography is allowed for private use. Commercial photography or videography must be approved and may incur additional fees.
Social Media: We welcome and encourage guests to share their experience on social media but ask that all content respects the artwork and ambiance of the gallery.
By signing the rental agreement, the client acknowledges and agrees to abide by all terms and policies outlined above. Failure to comply may result in termination of the event without refund.
